1. Introduction
This policy explains how cancellation and refund requests work for monthly and annual GuildWard subscriptions purchased per Discord server. It forms part of the GuildWard Terms of Service. Paddle's applicable Buyer Terms, Paddle's Refund Policy and mandatory law also apply to a transaction.
2. Paddle as Merchant of Record
Paddle is the Merchant of Record, seller of record and authorized reseller for paid GuildWard transactions. Paddle processes the payment, applicable tax, receipt, recurring billing, cancellation and any approved refund. GuildWard provides the software and product support.
GuildWard will not issue a Paddle invoice or send a Paddle refund directly outside Paddle. Paddle may make the final decision where required by its terms, fraud controls, payment-partner obligations or applicable law.
3. Free plan
The GuildWard Free plan requires no payment, so there is no subscription charge to refund.
4. Initial subscription refund period
GuildWard offers a voluntary 14-calendar-day refund period for the first payment of a new paid subscription. A customer may request a full refund within 14 calendar days of that initial paid transaction.
This voluntary refund may be refused where there is evidence of fraud, refund or chargeback abuse, deliberate misuse, a violation of the Acceptable Use Policy, repeated purchase-and-refund behavior, or material use intended to obtain the service without payment. Mandatory consumer rights always take priority.
5. Subscription renewals
Paid subscriptions automatically renew for the selected monthly or annual period until cancelled. Renewal payments are normally non-refundable.
GuildWard may ask Paddle to review an accidental renewal when the request is submitted within 7 calendar days of the renewal, the customer cancelled or attempted to cancel promptly, paid features were not substantially used after renewal, and there is no evidence of refund or subscription abuse. This is a discretionary customer-support policy and does not limit mandatory statutory rights.
6. Cancelling a subscription
Customers may cancel at any time. Cancellation stops future renewal and normally takes effect at the end of the current paid billing period. Paid access normally continues until that date unless the subscription is refunded or reversed, continued access creates a security, fraud, legal or platform-abuse risk, or Paddle or GuildWard must suspend access by law.
Cancellation alone does not create a prorated refund. There are normally no prorated refunds or credits for unused days, a partly used billing period, unused server capacity, removing the bot from a Discord server, incomplete setup or onboarding, a voluntary downgrade, or not using paid features.
7. Free trials
If a paid plan is offered with a free trial, the customer must cancel before the trial ends to avoid the first paid charge. The trial duration and charge date will be shown before confirmation. GuildWard does not currently publish a standard paid-subscription trial length.
8. Duplicate and incorrect charges
Duplicate charges, clearly incorrect charges and confirmed billing errors will be investigated and corrected. Please provide the Paddle transaction or order ID, account email, affected GuildWard organization or Discord server, and a description of the issue. Do not send full card details.
9. Technical problems and service defects
A full or partial refund may be available if a material technical defect prevents access to the paid service or GuildWard cannot provide a paid capability substantially as described, provided the customer reports the issue and allows a reasonable opportunity to investigate or resolve it.
This discretionary remedy may not apply where the issue was caused primarily by the customer's Discord permissions, configuration, a third-party outage, an unsupported modification, or a violation of product requirements. Nothing in this section excludes a non-waivable statutory right.
10. Outages
Ordinary temporary interruptions do not automatically create a refund right. For a serious, prolonged outage within GuildWard's control, GuildWard may ask Paddle to provide a partial refund, extend service, or provide another reasonable remedy. Any remedy depends on the circumstances and does not limit mandatory rights.
11. Plan changes and downgrades
The effective date of a plan change or downgrade will be shown before confirmation and in the Paddle-managed billing interface. Downgrading does not refund fees already paid unless required by law or explicitly approved under this policy.
12. Suspended or terminated accounts
Payments are normally not refunded when access is suspended or terminated because of fraud, malicious activity, an Acceptable Use Policy violation, attacks against GuildWard, Discord, Paddle or other users, unlawful use, payment abuse, sanctions or another legal requirement. Mandatory rights remain unaffected.
13. How to request a refund
A cancellation or refund request may be started through:
- the Paddle buyer portal or the manage-subscription or receipt link in the Paddle transaction email;
- the GuildWard billing page; or
- GuildWard support.
Include the Paddle transaction or order ID, account email, affected organization or Discord server, and the reason for the request. Paddle buyer support is also available at paddle.net.
14. Refund processing
Approved refunds are processed by Paddle and normally returned to the original payment method where possible. Timing depends on Paddle, the payment network and the customer's bank. Paddle's applicable Buyer Terms and Refund Policy may provide additional rules.
15. Chargebacks
Please contact GuildWard or Paddle before opening a chargeback so the issue can be investigated. A fraudulent or abusive payment dispute may result in investigation, account restriction or termination where legally permitted. This does not prohibit a lawful chargeback or limit mandatory rights.
16. Effect of a refund on GuildWard access
When a full refund becomes effective, the associated paid entitlement may end immediately and the Discord server may return to the Free plan. Paid-only configuration may then be disabled or reset according to the documented downgrade behavior.
GuildWard applies this entitlement transition after receiving Paddle's verified billing lifecycle event. Historical operational, security and audit records remain governed by the applicable retention policy; a refund will not automatically delete security history.
17. Mandatory consumer rights
Nothing in this policy limits mandatory local consumer-protection rights. Depending on the customer's country, additional cancellation, withdrawal, defect or refund rights may apply. Where local law or Paddle's applicable Buyer Terms provide greater rights, those rights prevail.
18. Policy changes
GuildWard may update this policy to reflect changes in the service, Paddle's terms, billing operations or applicable law. The current version, effective date and last-updated date will appear on this page. The version in effect for a transaction will be considered together with Paddle's terms and mandatory law.
